The Pro Bono Administrator is responsible for supporting the practice, administration and operations needs of the firm-wide Pro Bono Practice. The Pro Bono Administrator is expected to perform the responsibilities with a commitment to providing superior service to the firm’s attorneys, advisors and staff, external clients and legal services partners, while also maintaining an atmosphere of teamwork and continuous improvement. The Pro Bono Administrator reports to the Pro Bono Counsel and Deputy Pro Bono Counsel. This is a non-JD role.

Key Responsibilities

  • Assist with various data entry tasks as needed, including data entry in pro bono client and volunteer databases;
  • Prepare and maintain various MS Office documents for pro bono team;
  • Facilitate pro bono client queries, screening, and processing; and assist in tracking and closing out matters that have been completed;
  • Track pro bono requests firmwide and maintain database of requests;
  • Follow up with attorney teams to confirm engagement letters are signed, returned, and provided to Legal Team Assistants for scanning into record system;
  • Help track pro bono preference forms completed by summer associates and first year associates;
  • Communicate with attorney teams to obtain pro bono matter status updates;
  • Maintain bank of template forms including termination agreements and other samples;
  • Serve as point of contact to Legal Team Assistants and other Business Services Professionals on pro bono procedures/questions;
  • Help coordinate pro bono trainings and clinics in conjunction with partner legal services providers;
  • Assist with pro bono event planning and logistics; and the Pro Bono Counsel and Deputy Pro Bono Counsel with projects and initiatives as necessary;
  • Communicate with pro bono clients as needed;
  • Perform other tasks and duties as assigned or required by the Pro Bono Counsel or Deputy Pro Bono Counsel;  

The Successful Candidate

Required:

  • 2 years’ prior administrative experience;
  • Fluency in written and spoken Spanish; and 
  • Proficiency in MS Office Suite – (MS Word, Excel, and PowerPoint) 

Preferred:

  • Bachelor's Degree
  • Previous law firm or legal services provider experience;
  • Experience with case tracking and outcome tracking;
  • Experience providing data on case statuses and case outcomes for legal services auditing or funder reports;
  • Experience working with survivors of trauma or under-resourced populations a plus;
  • Professional demeanor strong interpersonal communications skills both verbal and written;
  • Ability to handle complex and fast-paced environment;
  • Ability to speak effectively in front of an audience;
  • Ability to maintain confidentiality of all records, files, documents and department information;
  • Strong attention to detail; and
  • Excellent time management skills and the ability to prioritize and handle multiple tasks quickly and efficiently.
