Bet Tzedek’s Pro Bono Department develops programs, materials, and processes to recruit and manage thousands of volunteers each year across the agency’s projects; these include outside pro bono counsel, in-house volunteers, and clinic volunteers. The Administrative Assistant plays an essential role on the team by maintaining pro bono records, helping to launch cases and projects with pro bono volunteers, and supporting a wide range of programming.
This position is eligible for Bet Tzedek Legal Services’ hybrid/remote workplace designation. While the primary workplace is Bet Tzedek’s offices, at the discretion of the immediate supervisor, the employee may be permitted to work remotely or may be required to work in other locations depending on workload/business obligations.
Key Responsibilities
- Maintain pro bono records, assist Pro Bono Director in launching cases, and enter case and pro bono counsel information into legal database on a daily basis;
- Help develop and maintain a library of pro bono sample materials, resources, and templates, organized by practice area;
- Conduct data entry, scanning, copying, word processing, create and maintain spreadsheets, process case files, and other administrative duties;
- Clearly and professionally communicate with clients, staff, pro bono counsel, volunteers, community partners, service providers, other agencies, and the general public, as needed;
- Manage regular flow of pro bono project and case information according to team processes;
- Provide administrative support in advance of pro bono clinics and provide technical assistance during clinics as needed;
- Assist with administrative duties relating to in-house volunteer recruitment and record-keeping;
- Assist with pro bono data reporting on a monthly and annual basis;
- Provide other general administrative support as requested, including recommending and implementing improvements to projects, processes and systems;
- Assist in organizing and producing webinars, trainings, and other multiparty events on Zoom, Microsoft Teams, or other virtual platforms, by communicating with multiple stakeholders and registrants, as well as preparing MCLE paperwork;
- Other duties as assigned by supervisor or Directing Attorney.
The Successful Candidate
- BA/BS or equivalent work/life experience (required);
- At least 3 years of law firm or legal nonprofit experience (required);
- Exceptionally organized and self-motivated, with excellent attention to details (required);
- Proficiency with MS Office, including Word; Power Point; Excel (required);
- Familiarity with Legal Server or other cloud-based case management system (preferred);
