Our National Pro Bono and Responsible Business practice is dedicated to providing free legal services to vulnerable and disadvantaged people, supporting charitable and community causes, advancing equality for First Nations peoples, and driving sustainability and Environmental Social Governance initiatives across the firm. The team includes the Head of Pro Bono & Responsible Business, National Pro Bono Manager, Pro Bono Lawyers and Environment Coordinator. Our pro bono practice has been recognised through awards for Pro Bono Partner of the Year and as finalists for Pro Bono Practice of the Year and Pro Bono Lawyer of the Year. Our sustainability has also been recognised with awards from global ratings agency EcoVadis and Cityswitch. 

The Role
Reporting to the Head of Bono and Responsible Business and supporting the team, this is an exciting opportunity work in a team which drives community and environmental impact work across Australia.  This newly created role includes co-ordination and high quality executive assistance for the Head of Pro Bono & Responsible Business and team.  The role would ideally be full-time and located in our Melbourne office, but other locations and part-time candidates will be considered for strong candidates. 

Key Responsibilities

Pro Bono

  • Co-ordination and administrative support including pro bono matter referrals, legal clinics and community legal secondments, along with pro bono events, priority projects and new opportunities. 
  • Co-ordination of pro bono legal clinics.  This includes liaising with community legal centres and our lawyers, scheduling, conflict checks and clinic specific training requirements. 
  • Lead and support firm’s legal assistants with all pro bono processes such as file opening, conflict checks, billing and or time recognition and processes for engaging pro bono experts and counsel. 

  Community

  •  Co-ordination of the firm’s community program including liaising with national community leaders and taking initiative to implement any processes or other improvements.
  • Implementing corporate volunteering, donations and charitable event participation including planning, scheduling, communications and bookings.   
  • Arranging financial donations and delivery of donated goods. 
  • Supporting the assessment of social suppliers or sustainable products and arranging implementation across the firm. 
  • Supporting RAP Working Group with implementation of our Reconciliation Action Plan. 

   General

  •  Strong working internal and external relationships, including with our community legal centre partners, charitable organisations and our people. 
  • Assisting with the development, enhancement and maintenance of accurate internal resources, policies, procedures and training.
  • Drafting internal communications on clinics, volunteering, events and other initiatives or outcomes and updating intranet and webpages as guided by the team. 
  • Working proactively to monitor and draft accurate and timely reports for clients and the Board and co-ordinating firm’s annual Impact Report. 
  • Assisting with data collection across the firm and upload to our carbon accounting, sustainability assessment and modern slavery platforms
  • Adherence to firm style guides for documents and accurate filing and management of electronic folders. 
  • Arranging travel, events, training and other team requirements. 
  • Managing budget and expenses. 
  • All other administrative support required for the team and co-ordination for other projects as they arise. 

The Successful Candidate

  • High level skills in organisation, attention to detail and the ability to multi-task, prioritise competing demands and deliver outcomes on time.
  • A track record for taking initiative, problem solving and being a self-starter. 
  • Strong interpersonal skills, with demonstrated ability to build relationships and communicate with a range of internal and external stakeholders in a professional and responsive manner.
  • Demonstrated ability in using organizational software applications and technology (document management systems, Word, PowerPoint, Excel).
  • Demonstrated skills in the management, collection, analysis and reporting of accurate and timely data.
  • A passion for social justice.
  • Maintaining a high level of professionalism and service quality at all times to ensure that all tasks are completed.
  • Experience in legal practice coordination or executive assistance highly regarded.
